OVERVIEW

The client came to us with a request: to combine sales, marketing, and logistics in a single Zoho environment. The business needed a system that would cover the entire process: from receiving a lead and making initial contact to creating shipments, monitoring their movement, and tracking the work of logisticians in real time. The main focus of the project was process automation so that information could move through the stages without manual duplication and data loss.

The solution used by the customer before Zoho was specialized for logistics but lacked the flexibility to refine and consolidate all processes into a single system.

KEY CHALLENGES

  • Managing leads and customers in Excel without a centralized CRM.
  • Lack of end-to-end analytics: from lead to shipment.
  • Impossible to control quotes and promises to customers.
  • No single space for working with Vendors.

COMPANY

G8toUS is an international logistics company that has been providing comprehensive freight transportation services between China, Ukraine, the US, Canada, and other countries for over seven years. The company organizes air, sea, road, and express transportation, selecting the optimal route depending on the urgency, volume, and type of cargo.

Among the goods transported are retail shipments for e-commerce, household and industrial cargo, textiles, electronics, furniture, and other dangerous or non-standard cargo.

G8toUS also provides customs clearance, cargo insurance, brokerage services, and full transportation support — from the point of departure to the warehouse in the US or the final destination.

ISSUE EVALUATION

  • Interviewed key company employees.
  • Formed business processes by department to have clear stages of working with leads.
  • Programmed automatic receipt of leads from calls and the website directly into the system with the transfer of UTM tags.
  • Set up a sales pipeline for working with leads and scoring.
  • Set up automatic notifications for sales department about new applications.
  • Set up processes for working with orders and contacts. Each client is assigned a unique number and the ability to provide up to 3 estimates in one Quote.
  • Developed the ability to generate invoices and calculate order profitability.
  • Developed a process for working with cargo so that a logistics manager can combine several orders into one shipment.
  • Developed a mechanism for calculating the margin for the entire cargo and separately for each order.
  • Developed a mechanism for notifying responsible managers about the status of their orders according to delivery.
  • Configured the ability to generate PDF documents according to the company’s corporate templates.
  • Developed the ability to keep track of expenses for vendors and partners within the scope of delivery.
  • Developed the ability to track each delivery status.
  • Configured the ability to keep track of income and expenses in Zoho Books.
  • We configured the synchronization of manager accounts and logisticians’ expense reports in Zoho Books, where the accountant can control all payments.
  • We created automatic segmentation of the customer base depending on the purchase amount and the date of the last interaction, which displays all customers by segment.
  • Set up automatic filtering of the database by date of last contact and order so that managers can interact with existing customers.
  • Set up reporting on marketing, sales, and cargo margins, enabling the owner to monitor performance online.
  • Set up a combined marketing report in Zoho Analytics, where the marketing director can see the effectiveness of channels.

After implementing Zoho CRM, the business gained a unified ecosystem for sales, estimates, orders, and logistics. Teams stopped working in separate files—now all stages move in a logical sequence, and data is recorded automatically.

The sales department received a transparent funnel, can track the status of deals, and quickly find details of commercial offers. Managers no longer waste time manually updating tables and work with customers in real time.

Logistics specialists received a tool for forming cargoes, combining orders into deliveries, and controlling flight margins. Processes became predictable, and data quality became stable.
