Challenge

Before implementing a CRM system, the company managed all processes in Excel. This approach caused difficulties at every stage:

  • No structured sales funnel;
  • Complicated workload control for translators and notaries;
  • No quick access to analytics on revenue or completed orders;
  • No unified channel for client communication — messages were scattered across messengers and phone calls.

MacroGlobal needed a solution that would unify sales, communication, and vendor management into one system.

Solution

We implemented Zoho CRM with a set of integrations, automations, and custom modules tailored to the workflow of a translation agency.

1. Sales funnel

A clear process was built in the “Orders” module — from initial request to final payment.

2. Website integration

Webform submissions automatically create a Contact + Order in the CRM — no manual data entry needed.

3. ZOHO SalesIQ

A chatbot was integrated into the website to collect client data and send the conversation directly to the CRM manager.

4. Vendor widget

Managers can add a translator or notary to an order in one click:

  • selection from the internal database;
  • automatic fetching of service type and rate.

5. Task automation

The CRM reminds managers about key actions:

  • issue an invoice;
  • process a new inquiry;
  • assign a vendor;
  • record final details.

6. Analytics

Custom reports were created for orders, revenue, translators, and notaries. In just a few clicks, managers can see workload, cost, payment status, and profitability.

7. Messenger integration

Chatbots in Telegram and Viber allow clients to submit requests through any preferred channel.

How it works

  1. A client submits a request on the website or via chat.
  2. A deal is automatically created in the CRM.
  3. The manager follows the sales pipeline with automated task reminders.
  4. A translator or notary is assigned to the order via a two-click widget.
  5. The system generates analytics on revenue, efficiency, and vendor settlements.
